Position Overview:Ā
TheĀ Member Services CoordinatorĀ providesĀ administrative andĀ operationalĀ support for the delivery ofĀ SocietyĀ programs,Ā events,Ā and services.
As a primary point of contact for member inquiries, the position plays a key role in delivering outstanding customer service to TSCPA members and is responsible for the day-to-day management of member record updates, management of data process flows to and from the membership database, and routine membership reporting. The ideal candidate excels at identifying opportunities to streamline and simplify processes using automation and technology tools, executed with thorough attention to detail.
This roleĀ also providesĀ administrativeĀ supportĀ toĀ internal stakeholdersĀ as directed, including backup receptionist responsibilities,Ā coordination of eventĀ logistics,Ā shipping materials,Ā corresponding with membersĀ on behalf of TSCPA leadership,Ā and other duties as assigned.

Key Responsibilities:Ā
Member ServicesĀ and Database SupportĀ (70%)Ā
- Member Services:Ā ServeĀ asĀ primaryĀ point of contact for members and firm administrators in response to questions about membership requirements, group invoices, new member information, and other topics.Ā Provide outstanding customer service to member inquiries via phone and email.Ā
- ProcessĀ Enhancement &Ā Documentation:Ā Work with Chief Operating Officer and membership staff to update and document current processes and procedures related toĀ maintenance ofĀ association managementĀ database.Ā Ā
- New Member Processing:Ā Process new member applicationsĀ weeklyĀ andĀ maintainĀ accurateĀ member records in the association management database.āÆManage new member welcome campaign materials, including brochure mailing, creation of membership certificates (upon request), andĀ review email campaign distribution data.Ā
- Data Imports & Review:Ā Manage imports of largeĀ volumesĀ data to member database, including committee volunteer lists, successful candidate lists, and prospective member lists.Ā Ensure data integrity through routine audits, updates, reporting, and ongoing database maintenance.āÆĀ
- Annual Membership Renewal:Ā Serve asĀ primaryĀ point of contact for annual membership renewal for staff andĀ members,Ā andĀ take responsibility for annual renewal notifications to firm administrators and members.Ā Ā
- Membership Reporting:Ā Provide and file regular reporting on membership statistics byĀ utilizingĀ and / or developing reports in member database.Ā Ā
Ā
Administrative & ProgramĀ SupportĀ (30%)Ā
- Materials Preparation: Support the preparation and distribution ofĀ meeting andĀ event materials.Ā Coordinate copying,Ā packingĀ and shipping of supplies according to event deadlines.Ā
- Event Logistics: Provide on-site or virtual event support, including registration, room setup, and coordination with vendors,Ā etc.Ā
- Communication:Ā AssistĀ in communication with members and event participantsĀ in advance of the event and on site.Ā
- Registration and Database Management: Assist with event registration processes, including data entry, tracking registrations, andĀ providing counts to vendors, etc.Ā
- Scholarship Program Support:Ā Provide general administrative support for scholarshipĀ program, including data entry,Ā scanningĀ and filing.Ā Ā
- Research Support:Ā Conduct basic research and information gathering related to membership models,Ā schools, firms, program participants, speakers, and industry trends to support program planning and outreach efforts.Ā
- Miscellaneous Administrative Support:Ā Serve as backup receptionist as needed, prepare mailingsĀ and member correspondence, makeĀ travelĀ arrangements, order supplies,Ā maintainĀ electronic filing system, and perform other administrative duties as assigned.Ā
Qualifications:Ā
- Education: High school diploma or equivalent required;Ā AssociateĀ or BachelorāsĀ degree preferred.Ā
- Experience:Ā Minimum of two (2) years of administrative orĀ customer serviceĀ experienceĀ required.Ā Experience with database use is a plus.Ā Ā

Work Schedule:Ā
- This is aĀ benefit-eligibleĀ position, withĀ an average ofĀ 35Ā hours per week expectedĀ and potential to reachĀ 38-40Ā hoursĀ per weekĀ occasionally.Ā Ā
- TSCPAās coreĀ businessĀ hoursĀ areĀ 8 a.m. ā 5 p.m., Monday-Friday.Ā Flexibility is availableĀ dependingĀ on business needs.Ā Ā
- This role is based primarily in the Brentwood office with some remote work options available.Ā
